SuiteCal keeps track of two things for every appointment: whether the service happened (appointment status) and whether you got paid (payment status). These two work together, but they are separate.
This article explains how they connect so you always know what to expect.
When You Collect Payment, the Appointment Completes Automatically
After you tap Collect, add a tip (or skip it), and process the payment by card or cash, SuiteCal does two things:
Sets the payment status to Paid (shown in green).
Sets the appointment status to Completed (shown in green).
You do not need to tap Complete separately. Checkout handles both for you.
What If You Tap Complete Before Collecting Payment?
No problem. The Collect button will still be there when you reopen the appointment.
If the appointment status is Completed but the payment status is still Unpaid, you'll see the Collect button at the bottom of the modal with the full amount. Tap it and check out like normal.
This also works if the payment status is Partially Paid (for example, a deposit was collected at booking). The Collect button will show the remaining balance.
When Does the Collect Button Show Up?
The Collect button appears at the bottom of the Appointment Details modal when both of these are true:
The payment status is Unpaid or Partially Paid
The appointment status is Confirmed or Completed
You will not see the Collect button if:
The appointment is already Paid
The appointment is marked as No-Show
The appointment is Cancelled
Quick Reference: Appointment Statuses
Confirmed - The appointment is scheduled. This is the default status for all booked appointments. You can collect payment, mark it as complete, or mark it as a no-show (past appointments only).
Completed - The service is done. This happens automatically after checkout. You can also tap Complete manually. If payment hasn't been collected yet, you can still tap Collect.
No-Show - The client didn't show up. You cannot collect payment on a no-show. If the client paid a deposit, it is kept. See How to Mark an Appointment as a No-Show.
Cancelled - The appointment was cancelled. No payment can be collected.
Quick Reference: Payment Statuses
Unpaid - No payment has been collected yet.
Partially Paid - A deposit was collected at booking. The remaining balance can still be collected through checkout.
Paid - Full payment has been collected. Nothing left to do.
Good to Know
You don't need to complete an appointment before collecting payment. You can tap Collect on a Confirmed appointment and it will mark as Completed automatically after payment goes through.
If you marked an appointment as Complete and forgot to collect payment, open the appointment again. The Collect button will still be there.
The Complete and No-Show buttons only appear below the Appointment Status on past appointments. Future appointments show Collect (if unpaid) and Cancel Appointment.
