Client Notes: Track Preferences, Sensitivities, and Aftercare

Client Notes are your personal “do not forget” area in SuiteCal. This is where you save the details that help you stay consistent, protect your client’s comfort, and deliver a better set every time.

Use notes to track things like:

  • Lash style preferences (wispy, soft cat-eye, doll-eye)

  • Sensitivities or allergy concerns

  • Product or formula details

  • Aftercare reminders

  • Anything personal that helps you serve them better


Where to find Client Notes

  1. Go to Clients from the left sidebar.

  2. Click a client from the list.

  3. Open the Notes tab in the client profile.

If the client has no notes yet, you’ll see an empty state with:

  • Add Your First Note

  • Or use Take Notes (top-right)


Add a new note

  1. Open the client’s Notes tab.

  2. Click Take Notes (top-right) or Add Your First Note.

  3. Choose a category for the note (example: Preferences, Allergy/Sensitivity, Aftercare).

  4. Write your note.

  5. Save the note.

Tip: Keep notes short and clear so you can scan them quickly during a busy day.


What to write in a note (lash artist examples)

Here are real, simple examples that work well:

Preferences

  • “Prefers softer look, light volume, no heavy outer corner.”

  • “Likes wispy cat-eye, keep inner shorter, outer longer.”

  • “Does not like super dark sets. Keep it natural.”

Allergy / Sensitivity

  • “Sensitive to fumes. Use low-fume adhesive, fan longer, check comfort.”

  • “Eyes watered last visit. Keep patches higher, avoid lower lashline.”

  • “Reports mild irritation sometimes. Confirm comfort before starting.”

Formula

  • “Best retention with Adhesive A. Avoid Adhesive B.”

  • “Shorter dry-time works better for her. Use quick-set.”

  • “Use bonder at end, reduced redness last time.”

Aftercare

  • “Remind: no steam for 24 hours, cleanse daily.”

  • “She rubs eyes when stressed. Recommend lash bath nightly.”

  • “Avoid oil cleanser, use foam lash cleanser instead.”


Edit or update a note

If you need to correct something or update the client’s info:

  1. Open the client’s Notes tab.

  2. Find the note you want to change.

  3. Click Edit.

  4. Update the text or category.

  5. Save.

Best practice: Instead of rewriting everything every time, update the note with what changed so it stays current.


Pin important notes (best for allergies + must-follow preferences)

Pinned notes are meant for the details you want to see first every time.

Examples of what to pin:

  • Sensitivity or allergy warnings

  • “Must follow” lash mapping preferences

  • Any key product/formula rule

Tip: Keep pinned notes limited to 1 or 2 max. If everything is pinned, nothing stands out.


Notes are private to you

Client Notes are for your internal tracking and consistency. This helps you:

  • Avoid repeating questions every appointment

  • Build trust through consistency

  • Remember small details that make a client feel taken care of


Best practices for busy lash days

  • Write notes right after the appointment while it’s fresh.

  • Use categories so you can find the important stuff fast.

  • Keep notes simple, professional, and easy to scan.

  • Pin what matters every visit (sensitivities, rules, must-follow mapping).

Do I have to add notes for every client?

No, but it helps a lot for repeat clients. Notes are most useful when a client has specific preferences, sensitivities, or aftercare habits.

Can I use notes even if the client hasn’t booked yet?

Yes. If you manually create a client, you can start notes right away.

Can clients see these notes?

No. Notes are for you to manage your service and client experience.
