When you should create a client manually
SuiteCal automatically adds clients when they book through your booking page. But manual creation is helpful when:
You have a walk-in client
Someone DMs you and wants availability before booking
You want to save a client now so you can add notes right away (preferences, sensitivities, etc.)
You are moving clients over from another system and want them listed in SuiteCal
Create a new client
Go to Clients from the left sidebar.
Click Create Client (top-right).
Fill out the form:
Name (Full name)
Phone (recommended)
Email (optional, but helpful)
Click Save Client.
Tips for lash artists
If you only get one piece of info, phone number is usually the most useful because it’s how clients text you.
Use a real name if possible. It makes future bookings and notes easier to manage.
Find a client fast (Search)
At the top of the client list, use the search bar to look up clients by:
Name
Email
Phone number
This is great when:
A client texts from a number you don’t recognize
You only remember their email
You are checking who booked recently
Understand the “New” tag
SuiteCal adds a New tag to recently added clients.
The New tag automatically disappears after 7 days.
So if you are checking your list and you see “New,” it basically means:
“This client is fresh in your system. Treat like first-time / recent.”
What appears in the clients list
In the client list, each client card can show:
Client name
Email (if available)
Total Sales
“New” tag (if within 7 days)
This list is designed so you can quickly click a client and view:
Details
Appointment history
Notes
What you can and cannot manage right now
✅ You can:
Create a client manually
Search clients by name, email, or phone
View client info and history
Add notes and categorize them
Pin important notes (great for allergies and must-follow preferences)
❌ You cannot (currently):
Edit a client’s name, phone, or email after creation
Delete a client profile
This is intentional right now so client history and totals stay consistent.
Best practices (so it stays clean)
1) Add clients only when it helps
If most of your clients book online, you may not need to manually create many. Use manual creation mainly for walk-ins or clients you want to note before booking.
2) Always save at least one contact method
Phone or email helps avoid confusion later (especially if you have two clients with the same first name).
3) Use Notes right away
Right after creating a client, click Notes → Take Notes and capture:
Sensitivities
Preferred style
Anything you want to repeat next visit

Why can’t I edit client details?
Editing is not available yet. SuiteCal keeps client records stable so appointment history and sales totals stay accurate.
Why can’t I delete clients?
Deleting is not supported right now and is not planned anytime soon.
Does SuiteCal support searching by email?
Yes. You can search by name, email, or phone number.
What does Total Sales mean?
Total Sales reflects the total value of appointments the client has booked in SuiteCal.
