Clients Overview in SuiteCal

The Clients section is your quick “mini client book” inside SuiteCal. It helps you keep track of everyone who books with you, see what they’ve spent, review appointment history, and save notes like lash preferences, sensitivities, and aftercare reminders.

How clients get added

Clients can show up in SuiteCal in two ways:

1) Automatically from bookings

When someone books through your SuiteCal booking page, SuiteCal automatically creates a client profile using the info they entered during booking.

2) Manually by you

You can also add a client yourself using Create Client. This is perfect for walk-ins or anyone you want to track before they book online.


Open your Clients list

  1. From the left sidebar, click Clients.

  2. You’ll see:

    • A client list on the left

    • A client profile area on the right (Details, Appointments, Notes)

Each client in the list can show:

  • Name

  • Email (if available)

  • Total Sales

  • A New tag (for recently added clients)


Find a client fast (search)

  1. Use the search bar above the client list.

  2. You can search by:

    • Name

    • Email

    • Phone number

This is handy when a client texts from a number you do not recognize, or when you only remember their email.


What the “New” tag means

A client is marked New when they are recently added.

  • The New tag automatically disappears after 7 days.

This helps you quickly spot first-time or recent clients in your list.


Create a client manually

  1. In the top-right corner, click Create Client.

  2. Fill in the fields:

    • Name (full name)

    • Phone (recommended)

    • Email (optional, but helpful)

  3. Click Save Client.

Tip: Even saving just a name + phone number makes it much easier to search and recognize the client later.


View a client profile

Click any client from the list to open their profile. You’ll see three tabs:

1) Details

Shows the client’s basic info:

  • Email

  • Phone

  • Client Since

  • Total Sales

You’ll also see a Call button if a phone number is available.


2) Appointments

Shows the client’s appointment history, including:

  • Date and time

  • Service

  • Status (example: Cancelled)

Cancelled appointments stay visible so you can still reference what was booked and what happened.


3) Notes

Notes are where you store important client details you never want to forget, like:

  • Allergy/Sensitivity

  • Formula

  • Preferences

  • Aftercare

  • Or anything general you want to remember

To add a note, click Take Notes (top-right) or Add Your First Note if the client has no notes yet.


Understanding Total Sales

Total Sales shows the total value of appointments that client has booked in SuiteCal.

  • Total Sales reflects the appointment totals captured in SuiteCal.


Calling a client

If a phone number is saved:

  1. Open the client’s Details tab.

  2. Click Call to contact them quickly.


Important limitations (for now)

  • You cannot edit a client’s name, phone, or email after the client is created.

  • You cannot delete a client profile.

(These are intentional right now to keep client history and reporting consistent.)


Lash artist best practices

  • Use Notes like your personal client cheat sheet.

  • Keep notes short so you can scan them fast between appointments.

  • Save sensitivities and “must-follow” preferences pinned so every set stays consistent.
