Edit client reminders on desktop

Client reminders are a paid feature in SuiteCal. On desktop, you can view all reminder sections on one screen and update each reminder from the Client Reminders page.

Before you start

Before editing reminders, make sure:

  • reminders are included in your paid plan

  • your booking page is active

  • clients are booking with the correct contact details

SuiteCal sends reminders using the existing email template. Any optional content you add, like prep notes, links, button text, or a custom message, is added into that email.

How to open client reminders

  1. Log in to your SuiteCal account on desktop.

  2. In the left menu, click Client Reminders.

  3. You will see the reminder page with these sections:

    • Before the appointment

    • After the visit

    • Bring clients back

Each section includes the reminders available for that stage of the client journey.

Reminders you can edit on desktop

You can update these reminders from the desktop reminders page:

  • Advance reminder β€” sent 1 day before

  • Day-of reminder β€” sent 2 hours before

  • Thank-you message β€” sent 2 days after

  • Rebook reminder β€” sent 14 days after, only if the client does not already have a future booking

What you can edit

Depending on the reminder, you may be able to update:

  • whether the reminder is turned on

  • the delivery channel

  • preparation notes

  • a review or booking link

  • link button text

  • a custom message

Some reminders have fewer fields than others.

How to edit a reminder on desktop

  1. Go to Client Reminders.

  2. Find the reminder you want to update.

  3. Review the fields shown for that reminder.

  4. Make your changes.

  5. Click Save Settings.

Your changes will apply to future reminder emails going forward.

How to turn a reminder on or off

Each reminder has a delivery channel row with a toggle.

To turn a reminder on or off:

  1. Find the reminder you want to update.

  2. In the Delivery channels section, use the toggle next to Email.

  3. Click Save Settings.

If Email is turned off for that reminder, that reminder will not be sent.

How to update preparation notes

Preparation notes are available on reminders like the Advance reminder.

You can use this area to add short prep instructions for clients.

Examples:

  • Please arrive with clean lashes.

  • Please avoid mascara before your appointment.

  • If this is your first visit, please come a few minutes early.

Keep prep notes short and easy to scan.

How to add a review or booking link

Some reminders, like the Thank-you message, let you add a link.

You can paste in:

  • your Google review link

  • your SuiteCal booking page link

This is useful if you want clients to leave a review or book their next visit.

How to update the link button text

If a reminder includes a link, you can also set the button text shown in the email.

Examples:

  • Leave a Review

  • Book Again

  • Book Your Next Fill

Choose button text that is short and clear.

How to add a custom message

Some reminders let you add your own message.

Your custom message is added into the standard SuiteCal email template. It does not replace the full email.

Good examples:

  • Thank you for coming in. I loved having you.

  • Please remember to keep your lashes dry for the first 24 hours.

  • It may be time to book your next fill.

How rebook reminders work on desktop

The Rebook reminder is sent 14 days after the appointment.

It is only sent if the client does not already have a future booking.

On the desktop page, you may also see a note explaining that the reminder is only sent when there is no upcoming booking already in place.

Tips for editing reminders on desktop

A few good practices:

  • keep each reminder focused on one main message

  • use the advance reminder for prep

  • use the thank-you message for aftercare, reviews, or rebooking

  • keep rebook reminders friendly and low-pressure

  • always click Save Settings after making changes

Keep in mind

Changes you make on desktop apply to future reminder emails.

If you update the wording today, it will be used for reminders sent after your changes are saved.

SuiteCal will still send the reminder using the existing email template, with your optional content added into it.
